1. Assumption of Risk & Liability Waiver
Participation in workshops may involve physical activity, play and/or (age appropriate) tool utilization which carry inherent risk. By attending any Hollow Mountain workshop, program or event, you voluntarily assume all associated risks. Hollow Mountain, its instructors, staff, and partners are not liable for any injury, illness, or loss sustained during participation.
Families are required to alert Hollow Mountain at event registration of any known allergies or accessibility needs so we can provide a safe experience for all participants. Hollow Mountain staff are not permitted to provide medication to participants while under their supervision.
2. Media Release
By participating in Hollow Mountain Workshop programs, families grant permission for the use of photographs and videos taken during classes or events for promotional, marketing, and/or social media purposes without compensation being provided for such use.
If families wish for their child(ren) to be excluded from photos or videos, simply let your instructor know via the registration form and your wishes will be respected.
3. Refunds & Cancellation Policies
Full refunds are granted for any reason with 72 hours’ notice prior to the workshop.
Rescheduling to another workshop is granted within 48-72 hours’ notice of the workshop.
Refunds are not provided for bulk workshop purchases or monthly memberships.
Merch is nonrefundable, but exchanges are accepted for alternative sizing if tags still attached/item appears in new, unused condition.
4. Behavior and Conduct
Hollow Mountain reserves the right to deny or revoke participation to anyone whose behavior is unsafe, inappropriate, or disruptive, without refund. All participants and their family members are expected to be respectful to all members of the Hollow Mountain community. All participants, their family members, instructors and/or volunteers are expected to be respectful to all members of the Hollow Mountain community at all times.
5. Walk-Ins & full workshop policies
Walk-ins are not prohibited; however, a workshop spot is not guaranteed without advance booking. Those who do not have a reservation should arrive at least ten minutes prior to the workshop’s start and speak with the instructor about availability. Please note that for workshops requiring specific supplies that we purchase/put together ahead of time, availability isn’t only dependent upon physical space availability but about supply prep and instructor to participant ratios.
If a workshop is full and you are hoping to get in, please reach out to us directly about being placed on a waitlist by emailing hollowmountainpress@gmail.com and we will ask the instructor about their capacity preferences. In your email please note the workshop title, instructor, time and date, and the name and age of your participant.
6. Drop-off & Pick-up Policies
Hollow Mountain is not a daycare facility. While some groups do not require family participation, that does not mean that our mentors take on the role of caregivers in their absence. Families are expected to make arrangements for drop-off and pick-up on time and independently of the program. If participants are not picked up on time and do not have pre-arrangements made for their transportation following the workshop’s end, we will attempt to contact the emergency contact on file 10 minutes after workshop has ended. After 15 minutes, if no communication has been established with caregivers, Hollow Mountain policies require non-emergency services be alerted for the safety of the participant.
Under no circumstances are instructors allowed to transport participants (even with parent permission) unless they are related to the participant. This includes in family emergencies; non-emergency services will be able to safely ascertain the best move forward if this should occur.
In the event of an on-site emergency, instructors will take all necessary steps to move participants to a safe, nearby location while Hollow Mountain and/or emergency services alert families.
7. Policy Changes
Hollow Mountain retains the right to update these Terms and Conditions at any time. Continued participation constitutes acceptance of any changes.
Hollow Mountain Scholarship Fund Policy
FUND-01 Scholarship Fund Policy

Purpose
This policy increases access to Hollow Mountain workshops for children whose families may not be able to afford registration fees.
Scholarship Amounts
Subject to available funding, Hollow Mountain may award:
- Full scholarships waiving the full $40 workshop fee ($20 for Kit Club)
- Partial scholarships waiving $20 of the $40 workshop fee ($10 of the $20 fee for Kit Club)
Eligibility
Full scholarships are intended for applicants with higher demonstrated financial need, including children who:
- qualify for free school meals
- live in households receiving SNAP, TANF, or SSI
- are in foster care
- are experiencing homelessness
- are identified as migrant or runaway
- are enrolled in Head Start
- are referred by a school counselor, social worker, case manager, or partner organization due to significant hardship
Partial scholarships are intended for applicants with moderate demonstrated financial need, including children who:
- qualify for reduced-price school meals
- live in households receiving Medicaid or another low-income assistance program approved by Hollow Mountain
- are referred by a school counselor, social worker, case manager, or partner organization indicating that partial assistance would make participation possible
In limited circumstances and only as funds allow, Hollow Mountain may also consider requests for partial scholarships from families who do not fall within the categories above but can provide other documented proof of need demonstrating that full payment would create hardship. Such circumstances may include, by way of example, a recent job loss or a family with multiple children for whom full registration fees would limit access to participation.
Application and Verification
All scholarship applicants must provide simple documentation of need as part of the application process when the form is submitted. Acceptable documentation may include proof of public benefit eligibility, free or reduced-price school meal eligibility, referral documentation from a school counselor, social worker, case manager, or partner organization, or other comparable proof of need approved by Hollow Mountain. Applications submitted without supporting documentation will not be approved. Extensive financial documents, including tax returns, will not be required.
Integrity of Applications
Hollow Mountain reserves the right to deny any scholarship request that is incomplete, unsupported, or contains false or misleading information.
Limited Use of Scholarship Funds for Class Supplies
In limited circumstances, scholarship funds may be used to purchase class supplies necessary for participation in a workshop when those supplies could not otherwise be provided without imposing additional costs on parents or guardians. Instructors are expected to select supplies that can reasonably be procured by the program through its ordinary budget and planning processes. Use of scholarship funds for supplies is a last resort only and requires prior approval by the Board of Directors. This provision does not alter the primary purpose of the scholarship fund, which is to reduce or waive participant fees based on financial need.
Administration
Scholarship requests will be reviewed by the Executive Director or designee. The Executive Director is authorized to implement this policy and related procedures.
